The BrassRing term for the certificate or certified list is the req folder. All applicants eligible for hire into a specific position will be included in the req folder for that specific position. Below is a view of a req folder list. Department HR staff will have access to any reqs which they created or for which they have been selected a member of the req team.

To view the details about a specific req, click on the auto req ID link for the req. That will give you a view of all posting information that was entered into the original req. To view the applicants within the req folder, click on the orange folder icon in the Req folder column next to the Auto req ID.

Steps for Processing Applicants in the Req Folder

As soon as the Recruiter qualifies applicants and copies them from the working folder to the req folder, hiring departments will be able to see the applicant information. The HR status for applicants in the req folder will be Qualified when they are initially placed into the folder.

When all names have been copied into the req folder, the hiring department will be notified by the Recruiter. Information on the applicants in the req folder can be sent to the hiring supervisor in several different ways.

  • Select all applicant names in the req folder
  • Click Image of print icon in the left navigation bar.
  • The complete resume and cover letter, if provided, of all the selected applicants will appear, one after the other with a link between, in the pop-up box.
  • You can print this screen and give it to the hiring supervisor or email this information to the hiring supervisor.
  • To email,
    • Select all the text in the pop-up box by clicking Edit>Select All from the top of the screen
    • Click Edit>Copy from the top of the screen to copy all of the names
    • Open up a blank email note in your email software
    • Paste the information from the pop-up box into the body of the email.
    • Enter the hiring supervisor's email address in the To... box
    • Type Resumes for XXXBR-job class name in the Subject... box where XXXBR is the req number and job class name is the title of the job class for the req
    • Type any additional information which would be helpful to the hiring supervisor in the body of the email above the applicant resumes
    • Send the email

Another method is:

  • Select all applicant names in the req folder
  • Click Image of eLink icon in the left navigation bar.
  • The elink selected candidates pop-up box will open.
  • Complete the fields in the pop-up box:
    • From email address will include the email of the department HR person signed on.
    • If the email is going to a system user in BrassRing Enterprise, select the name(s) from the system user's box.
    • If the email is gong to another person, type the email address(es) into the To: (non-system users) box.
    • Select all applicants/forms you want the recipient to be able to view. There will be several forms for each applicant.
    • Select any forms you want the recipient to complete.
    • Select any attachments you want the recipient to see (paper applications will be attachments with .tif in the name.)
    • Change the subject box if desired. (default subject is eLink re: reqID: 88BR: SECRETARY 1: Multiple candidates)
    • Enter a message if desired.
    • Click Send
  • The hiring supervisor will receive an email with the names of all the selected candidates. Each name will be a link to the applicant talent record for that applicant. The supervisor can select each link to view the applicant information. All selected forms for the applicant will appear for the applicant.
