SECTION 5.10 PUTTING
AN EMPLOYEE ON THE PAYROLL

Procedures for
filling a vacancy must be adhered to before a new employee can be placed on the
payroll (see Chapter 4 of this manual).
Once a final selection has been made, notify your department's personnel
assistant. Provide the following
information:
· Employee's name
· Social security number
· Position number
· Hire date
· Starting rate of pay
The entrance rate of
pay for a new employee shall be the minimum rate for the pay grade unless an
advanced appointment is requested and approved by the appropriate
authorities. See Section 5.15 of this
manual for more information on advanced appointment rates.
Reinstatement
If a former employee
is reinstated (refer to DAS-HRE Rule 11 IAC—57.5) to a job in state government, the
employee may be paid at a rate of pay within the pay grade for the class to
which reinstated.
If the rate of pay is
decided to be greater than the pay at the time of separation, the decision must
be justified and documented as an advanced appointment rate in accordance with
DAS-HRE Rule 11 IAC—57.5(1)
and Section 5.15 of this manual.
Orientation
During the employee's
first day on the job, schedule an interview/orientation session between the
personnel assistant and the new employee.
If you are in a field location, your department may have a different
procedure, so contact your personnel assistant for instructions. The department's personnel assistant will
explain the benefits available to the employee and obtain information necessary
to process required personnel and payroll documents. See Chapter 7 of this manual,
"Orientation," for more information.
The personnel
assistant will initiate and forward documents to DAS-HRE for approval.
